MHFA Shop: four years keeping a national training provider’s shop running.

The MHFA Shop sells the manuals, course access passes and vouchers behind Mental Health First Aid Australia’s courses to individuals, workplaces and training providers nationwide. Since 2022 we have kept it running, from checkout to the accounting system behind it.

The challenge

A shop that cannot afford a broken checkout.

A training provider’s online shop cannot afford a broken checkout. The MHFA Shop runs on WooCommerce, connected to Xero for invoicing and GST, Salesforce for customer records, and NAB Transact and PayPal for payment, with tiered pricing for instructors, workplaces and NDIA accounts buying at scale.

Every one of those connections is a place something can go wrong: an order that syncs to Xero with the wrong status, or a shipping rule that breaks past a certain number of products. None of it is visible to a shopper buying a manual before a course, but every failure, left alone, becomes a support call or a delayed invoice.

MHFA needed a team that understood how the store, the accounting system and the CRM fit together, not a help desk relearning the setup every time.

The approach

The same team since 2022.

We have supported the MHFA Shop since 2022, with the same team handling everything from routine content updates to the accounting and CRM integrations behind the scenes. Reactive fixes, such as checkout errors, Xero sync failures and the occasional website outage, are triaged alongside planned work, with a recurring maintenance slot for stocktake closures and housekeeping.

Security work has included two factor authentication, reCAPTCHA on checkout and an Auth0 single sign-on cutover, alongside PHP and MySQL upgrades that kept the platform inside its vendor support window. When Xero’s API hit a rate limit and order syncing stalled for close to eleven hours on a busy trading day, we worked through the backlog until every order was reconciled.

The shift

For MHFA, four years of support stopped being about fixing what broke and started being about making sure nothing does.
